Product / Publish & share

Approved means live. Everywhere.

Publish & share is how a SitePilot plan reaches the field: a draft → approval → publish workflow, then QR codes, URLs, SMS and email that always open the current revision. Viewers need no app, no login, no account.

01 / Workflow

Draft, approve, publish — with a record at every step.

Plans move through a controlled workflow: drafts stay private to the team, approvals are captured by email, and publishing can be scheduled so plans go live exactly when they should — and expire when they shouldn't.

  • Approval emailswho approved what, when, kept automatically
  • Scheduled publish & expirystage changes ahead of the shift
  • Version historyevery revision retained with your entire site history auditable
02 / Reach

One QR code, always current.

Print a QR code once and put it at the gate, in the induction pack, on the noticeboard. It always resolves to the latest published revision — no re-laminating, no stale copies. Share the same plan by URL, SMS or email.

03 / Evidence

The audit trail keeps itself.

When the question is "what was in force on the day?", the answer is one click: complete version history with timestamps and approvals, retrievable in the app or automatically via the API.

FAQ

Publish & share questions

Do viewers need to install anything?

No. Published plans open in any modern browser on any device — no app, no login, no account. Scan the QR or tap the link and the plan is there.

What happens to the old revision when I publish a new one?

It's archived automatically with its timestamp and approval record. Every revision stays retrievable for audit — in the app, or via the API.

Can I schedule a plan to go live at a specific time?

Yes. Scheduled publish and expiry mean a plan can go live at shift start and lapse when works complete — without anyone remembering to press the button.

How do I know people are actually looking at the plan?

QR scan analytics show when and how often codes are scanned, so you have evidence the plan reached the field — not just that it was published.

Can I still get a PDF?

Yes — every plan exports to PDF for paper-based packs and records. The live link stays the source of truth; the PDF is the snapshot.
